In one spreadsheet.Article 4 of the EU AI Act is a best-efforts duty, and best efforts is something you did rather than a state you are in. From 3 August 2026 national authorities can ask what measures you took. This is where you record the answer: what AI you use, who touches it, what training they had, and when it is next due.

Why this is a download and not a login
A literacy register holds your employees' names, roles and training records, which is personal data. We deliberately do not want a copy. Keeping it as a file means it lives under your control, alongside the rest of your compliance evidence, and it cannot vanish because a supplier changed their product. Nothing you type into this template reaches us.
What is inside
Five working sheets, with dropdowns where consistency matters and one worked example per sheet showing the expected format.
AI system inventory
Every AI system you use or build, including third-party tools with AI quietly baked in. Has a column for the Article 3 test, so rules-based automation gets struck off before you waste time assessing it.
Who uses what
Maps people to systems by depth of use. This is the sheet that makes training defensible, because literacy under Article 4 is contextual rather than universal. System names fill themselves in from the inventory.
Training log
The core artefact. One row per person per session, with a column for the specific risks covered. Naming hallucination and prompt data leakage is what separates a literacy record from an attendance sheet.
Review calendar
Six recurring checks, pre-filled. Enter a frequency and a last-done date and it works out the next due date and flags Overdue, Due soon or On track. Best effort is continuous, not annual.

The four risk tiers, all the key dates, and links to the primary sources, so you are not searching mid-audit.
Be clear on what this proves. Article 4 imposes no documentation duty, and the EU AI Office says organisations can keep an internal record of trainings rather than that they must. There is no required certificate and no mandated AI Officer. This template records evidence of measures you took; it is not legal advice and it grants no presumption of compliance. The training itself is the work, and this is how you show you did it.
